POSITION: WAREHOUSE & STOCK COORDINATOR

Duties & Responsibilities:

  • Provide support for inventory management and warehousing activities.
  • Review material and cargo handling and storage tasks.
  • Follow up on all transport vehicles dispatched to operational sites.
  • Manage proper database records for electronic documentation related to material delivery.
  • Monitor warehouse inventory levels and place orders as required.
  • Provide information to customers (maintenance and operations teams) on the status of their orders.
  • Conduct ongoing follow-up with suppliers for out-of-stock goods.
  • Track inventory continuously and manage receipt and labeling issues.
  • Organize the MST main warehouse catalog and plan routes for shipment processing.
  • Carry out periodic site visits to ensure compliance with approved warehouse management procedures.

  • Fully comply with H3SE (Health, Safety, Social Security, and Environment) policies and Life-Saving Rules.

Qualifications / Experience Required:

  • Education: Bachelor’s degree or Advanced Diploma in Taxation, Customs, Accountancy, Finance, Economics, Business Administration, Law, or related fields.
  • Experience: 10 years of experience in logistics operations, particularly in warehouse management.
  • Skills: Proficiency in English (spoken and written), knowledge of operational logistics, transportation regulations, and best practices, along with adaptability, diplomacy, and rigor.
Job Dimensions / General Job Description:
The Warehouse & Stock Coordinator oversees all activities in the various EACOP warehouses, including the MST (main warehouse) and multiple pumping stations (PS-1, PS-4, and PS-5). This role also manages the Warehouses Specific Maintenance Contract (SMC).

POSITION: OPERATIONS LOGISTICS COORDINATOR

Duties & Responsibilities:

  • Manage all facilities’ service contracts, including but not limited to vehicle maintenance, utility services, housekeeping, domestic waste disposal, and catering.
  • Act as the primary point of contact for all community landlords within EACOP’s operational areas.
  • Schedule transportation services, including site shuttles within the operational area.
  • Monitor inter-site personnel movements, especially to unmanned stations.
  • Allocate drivers and plan routes.
  • Manage and monitor diesel inventory at all sites and supply operational vehicles.
  • Conduct periodic site visits for audits, inspections, and evaluation of operational needs for non-technical materials and interventions.
  • Manage all aspects of facilities and general services for EACOP properties in Tanzania.

  • Experience: 5+ years of experience in logistics operations, especially in facility management.
  • Skills: Strong communication skills, excellent time management and organizational skills, knowledge of logistics software or transportation management systems, and basic accounting knowledge.

POSITION: BUSINESS CONTROLLER

Key Responsibilities:

  • Provide advice on financial issues to management to help them develop revenue and expense budgets, understand financial reports, and manage their financial responsibilities.

Accounting & Tax:

Interface with Accounting Firm:

  • Weekly review of Accounting Bookings ensuring accuracy
  • Check accuracy of the reports issued by Local Accounting firm (Accounting & Tax, Financial Statement and P&L, B/S, A/R reports)

Checks and Internal Compliance:

  • Ensure Execution of monthly and closing tasks, Assist with the calculation of accruals and B/S Review
  • Invoicing: Check and Ascertain milestones that trigger Invoicing
  • Tax: Steering Entity Tax Related Matters
  • Bank & Treasury: Weekly Follow-up of Accounts Receivables (A/R) and Accounts Payables (A/P) and advise stakeholders

Travel & Expenses Management

Support Admin Officer in Review and Approval of Expense Reports
Check/Audit HR Company and Travel Management Company Expense Management Systems, Payment Summaries & Invoices

Governance & Compliance:

  • Comply with Finance Policies, Processes and Procedures.
  • Identify discrepancies and gaps and advise stakeholders with mitigation Actions.
  • Assist in Deployment of Internal Controls and Audit Actions

Controlling and Reporting:

  • Ensure Accurate Cost Allocation (accounts, activities, cost centres) in P&L Reports.
  • Cost Management: Issue monthly analysis of Actual vs.
  • Budget and forecast by cost centres and activities.
  • Support to Develop and Implement Annual Unit Budgets.
  • Assist in Building Rolling Forecasts and P&L.

Minimum Requirements:

  • Bachelor’s Degree in Finance, Business Administration, Commerce or Equivalent from a duly Accredited University.
  • Minimum 8 Years Experience in an active operational single-contributor capacity executing and steering functions related to Finance, Control, Accounting, Tax, Compliance.
  • Experience in Global Multinational Corporations (MNC’s) Preferred.
  • Certified Public Accountant (CPA) with Strong Knowledge in Accounting and Tax.
  • Strong ERP Knowledge with Proficiency in Microsoft Office Packages.
  • Excellent Communication Skills.
  • A Team Player able to work within diverse teams to achieve common objective.
  • Result Oriented and Responsive: Able to quickly ask relevant questions to be able to understand topics, complete tasks and resolve issues efficiently and timely.

Brief Description of Role:

This role is a hands-on single contributor role. The Business Controller shall actively Steer Finance and Control elements critical to ensuring operational efficiency, cost management and control, and compliance of SE PS TZ.

With all actions geared to successful delivery of the EACOP Project, the Business Controller will work collaboratively, with relevant stakeholders.
